We plan to get a new grounds maintenance contract and want your views

We have written to our customers who receive this service because the law says we must consult with you under Section 20 of the Landlord and Tenant Act 1985, as this is a qualifying long term agreement (an agreement lasting more than 12 months and costing you over £100 a year) before we agree a new contract for looking after the outdoor areas around your home and other Hafod properties. 

We plan to find and appoint a contractor who will take care of these outdoor areas for the next 5 years, making sure the work is good quality and good value for money. 

As set out in your lease/occupation agreement, you pay towards the cost of looking after these areas. This is included in your service charge. 

Below is a list of the kind of work the contractor would do. Please note: the exact work and cost will depend on your site, and you only pay for the services your home or shared areas receive. 

The work includes: 

  • Cutting grass 
  • Trimming shrubs and hedges 
  • Removing ivy 
  • Maintaining trees 
  • Controlling weeds 

 

  • Managing litter 
  • Adding bark or mulch 
  • Clearing fallen leaves 
  • Keeping paths and hard areas clear of moss, weeds, litter, and debris

Why are we getting a new contract?

We believe having a proper contract for this work is the best way to: 

  • Keep outdoor spaces safe for you, your visitors, and the public by preventing hazards like overgrown paths or uneven ground. 
  • Keep your community looking tidy and attractive, with regular care. 
  • Save money in the long run by preventing problems before they get worse. 
  • Reduce harm to the environment by using eco-friendly methods. 
  • Give everyone peace of mind, knowing the work is being done professionally. 

We also want to get quotes from a range of contractors; to find the best value for money and make sure the quality of work is high. 

Once we get quotes (about 30 days from the date on your letter), we will write to you again to share the proposals and next steps.

We welcome your thoughts on this plan. Please share your comments by 1 September 2025.

Can you suggest a contractor?

If you know of a company or individual who you think could do this work, you can nominate them. We will try to get a quote from anyone you suggest, as long as they meet our required standards.  We will explain all requirements to anyone who is nominated. 

To nominate someone, please email getinvolved@hafod.org.uk giving us their full name and address by 1 September 2025.

The contractor must show they have proper procedures and meet standards in areas such as: 

  • Financial stability 
  • Health and safety 
  • Training and staff management 
  • Equality and diversity 
  • Environmental care 

What happens next?

After the consultation period ends, we will consider all your comments and decide if any changes are needed. We will then write to you again to let you know what happens next.
